Data Center Material RFQ Checklist

Use this checklist to organize an owner-approved construction material scope before sending a request for quote. It covers procurement organization only: project and package references, current documents, item details, alternatives, document stages and phased timing. It is not design, engineering, commissioning or uptime assurance, and category, product and document availability always needs confirmation.

This checklist supports procurement organization only. It is not design, commissioning or uptime assurance. Do not include facility credentials or security information. Category, product and document availability needs confirmation.

Owner-approved scope

Owner-approved construction material scope with project and package references. Critical equipment (UPS, switchgear, transformers, generators, cooling, fire protection) is outside this inquiry unless separately verified.

BOM/Spec Refs

Current BOM, spec sections and drawing revisions. Quantity, unit, dimensions, grades, finishes and required manufacturer/part references.

Documents and Hold Points

  • Order stage: note documents required before a purchase order is released, such as approved submittals or origin statements.
  • Delivery stage: identify paperwork that must accompany or precede shipment, such as packing lists or item-specific certificates.
  • Responsible review hold points: name who on your team reviews each stage and where work pauses until acceptance.
  • Availability of any category, product or document needs item-specific confirmation.

Phased dates and receiving restrictions

  • Phased requested dates: group items by phase or package with the date each is requested on site.
  • Requested dates are planning inputs, not reserved delivery slots.
  • Receiving restrictions: note general limits such as receiving hours, vehicle size, unloading equipment or staging space.
  • Do not send facility credentials, access codes or security information.
  • Critical equipment (UPS, switchgear, transformers, generators, cooling, fire protection) is outside this construction material inquiry unless separately verified.
