Buyer guides / Delivery preparation

Plan the handoff before materials arrive.

A delivery address is only the starting point. Use this guide to organize the site information and receiving arrangements that should be discussed before shipment.

Give each destination its own instructions.

Confirm the full address, entrance to use, site contact and receiving hours. Explain whether the delivery is going to an active jobsite, warehouse, yard or another location. Separate the instructions for each destination.

Make access restrictions visible.

Note gates, appointment requirements, restricted approaches and site rules that may affect the arrival. Ask the receiving team to check the planned access route. Do not assume that a vehicle suitable for one delivery is suitable for every material or location.

Agree who will unload.

Identify the receiving party and discuss the equipment and personnel needed for the actual shipment. Confirm unloading responsibility and any special handling arrangements in advance. Follow the applicable product, carrier and site safety instructions; this checklist is not an unloading procedure.

Match the shipment to the work sequence.

If the project has phases, list the material, quantity, destination and requested date for each phase. Distinguish the first required delivery from the complete order. Ask whether a proposed supply option matches that sequence before relying on it.

Prepare the receiving record.

Have the relevant order information and delivery documents available. Agree who will check the shipment and record discrepancies. Follow the instructions supplied with the order for reporting concerns, and retain the records your project requires.

Before shipment, confirm these six items.

  • Destination and entrance;
  • Receiving contact and hours;
  • Site access constraints;
  • Unloading responsibility;
  • Agreed shipment contents;
  • Delivery arrangements and open questions.

Site Access & Constraints

Access

Note gate widths, overhead clearances, turning space, weight or vehicle-length limits, road surface, and any time or noise restrictions. These details support a qualified site and carrier assessment of suitable vehicles; they are not a substitute for one.

Unloading

State who is responsible for unloading and what equipment and operators will be on site. Equipment needs should be based on confirmed package sizes and weights. Unloading and placement are not included unless confirmed in writing.

Staging

Identify the staging area, ground conditions, and weather or theft protection required. List the quantities needed for each phase so that deliveries can be matched to the space available on site.

Procedures

On arrival, check deliveries against the order and packing references and note any visible condition issues, following the receiving and reporting procedures agreed for your order.

A coordination checklist, not a lifting plan or safety assessment

This checklist helps organize receiving, access, unloading and staging information for your quote request. It does not replace a qualified site or carrier assessment, a lifting plan, or a safety review, and it does not mean unloading or placement is included. Requested delivery dates are not confirmed commitments; delivery arrangements are confirmed only after order confirmation.

When you contact us, add these delivery details to your message so they can be reviewed alongside your material requirements.
