Building Material RFQ Checklist

Use this checklist to organize a bulk or project material request. You do not need every answer to get started. Mark unknowns clearly so they can be discussed rather than assumed.

1. Identify each material.

Give each line item a product name and reference number. Include the quantity and unit of measure. Add dimensions, grade, finish, color and any required product or manufacturer reference. Separate confirmed requirements from preferences.

2. Include the controlling documents.

Identify the drawing, specification or schedule that defines the item. Include its revision and date. Flag required approvals, documentation and any restrictions on substitutions. If two documents conflict, highlight the question for your project team.

3. Describe the delivery.

Provide the destination ZIP code and jobsite address if known. Note access restrictions, receiving hours, unloading arrangements and your site contact. For multiple destinations, separate the quantities and requested dates for each.

4. Explain the timing.

Distinguish the date you need pricing from the date materials are needed. Identify the first required delivery, later phases and any flexibility.

Material Line Table Template

Use one row per item in your own material list. Include description and specification, dimensions and finish, quantity and unit, revision or reference, requested date, and any open question. The blank example below is a planning aid; it is not a form and nothing here is submitted.
