Understanding Delivered Material Costs
Two quotes for the same material can describe very different scopes. Before comparing totals, confirm whether each price covers the material alone or the material delivered to a named destination. This checklist is educational and is not a commercial term or a statement of OBS capability.
Material-only scope
Typically reflects the material at the stated specification and quantity. Processing, packaging, freight, handling, taxes, duties and destination charges may sit outside this price and must be confirmed separately.
Delivered scope
Describes material moved to a named delivery destination. Ask which cost lines are included, excluded, estimated or still unconfirmed. An unquoted charge is unknown, never zero.
Record every cost component by status
For each line below, note whether the quote marks it as included, excluded, estimated or unconfirmed. A charge that has not been quoted is unknown, not zero.
Material
Confirm the specification, quantity and unit basis the price covers. Status: included / excluded / estimated / unconfirmed.
Processing
Cutting, finishing or other work. Note which steps are listed and which are not mentioned.
Packaging
Crating, bundling or protection for transport. Record whether it is priced separately or left unstated.
Freight
Each transport stage to the named destination. Note whether figures are firm or estimated.
Handling
Loading, transfers and unloading. Receiving access and appointments are inputs to confirm, not assumed costs.
Taxes, duties & destination charges
Record who is responsible and whether amounts are quoted. Ask appropriate professionals for transaction-specific figures.
Accounting for Unconfirmed Costs
A charge that has not been quoted is not a charge of zero. If freight, handling, taxes, duties or destination charges are missing from a quote, record them as unconfirmed and keep them visible in your comparison until the supplier or the appropriate professional confirms the amount or the scope.
Treat any estimate as an estimate, label it clearly, and ask follow-up questions before comparing totals. This checklist is educational guidance only and does not describe commercial terms or confirm any specific cost.
Logistical Quote Inputs
Site conditions can change how a delivered price is built. Share these details up front so they can be reflected in a quote as included, excluded, estimated or unconfirmed. They are inputs to discuss, not a fee schedule or a delivery guarantee.
Receiving Access & Appointments
Describe receiving hours, gate or dock access, vehicle size limits and whether a scheduled appointment or advance notice is required. Ask how any access restriction affects the delivered scope.
Unloading Requirements
Note whether a forklift, dock, crane or manual unloading is available on site, and who is expected to unload. If handling is not addressed in a quote, record it as unconfirmed rather than assuming it costs nothing.
Phased Deliveries
If material must arrive in stages, list the expected phases, quantities and destinations. Ask whether each shipment is priced separately and which charges apply per delivery versus once per order.
