Comparing Material Quotes

Price alone does not establish equivalence

Before comparing totals, confirm that each quote covers the same quantities, units and specifications. A lower price does not mean a quote is equivalent, and it does not mean the quote is accepted. Any alternative needs review and acceptance by the person responsible for the project.

Verify like for like before comparing price

Quantities and units

Check that every quote prices the same item IDs at the same quantity and unit of measure. A line quoted per piece cannot be compared directly with one quoted per length, weight or box until the units match.

Specifications

Confirm product, dimensions, grade, finish and drawing revision match line by line. Any difference is an alternative, not an equivalent, and should be flagged for the responsible reviewer before it is compared on price.

Documents and references

Make sure each quote refers to the same project reference and states which required documents are included. A missing document or a different revision means the quotes are not yet describing the same scope.

Commercial and logistics terms

Compare inclusions and exclusions line by line: accessories, processing, packaging and required documentation. Record whether freight covers the same destination and receiving arrangements. Do not assume unloading or jobsite placement is included. Keep unquoted charges visible as unresolved rather than treating them as zero. Separate the quotation deadline, requested arrival date and any confirmed schedule. Identify conditions still awaiting approval or supplier confirmation. This checklist does not create or change commercial terms.

Alternatives, Substitutes and Unresolved Items

When a quote offers an alternative product, grade, finish or manufacturer, record it as a separate line rather than treating it as a direct match to the item you specified. Note exactly what differs from the original specification and what documents support the alternative.

An alternative should only be compared as equivalent after acceptance by the responsible reviewer for your project, such as the engineer, architect or specifier who owns the specification. A lower price does not establish equivalence or acceptance.

Keep a short list of unresolved items alongside each quote: missing specifications, open drawing revisions, unclear inclusions, or dates still to be confirmed. Resolve or clearly flag these before comparing totals, so each quote is assessed on the same basis.
